When to Arrive
The coordinators and other volunteers should plan to arrive at least 45 minutes to an hour before the scheduled start time. If you have tee signs, it is requested that you drop them at least 24 hours prior to the event. Our Golf Shop staff will need adequate time to distribute them onto the courses before the outing begins.
Upon late arrival, guests may go to the Golf Shop for help in locating their assigned group.
We provide skirted eight-foot tables for your use when checking in your guests, as well as distributing gifts and handouts. The registration table will be set up prior to your arrival. If you would like more tables, please ask the service director or server for assistance.
Golf Cart Staging
Golf carts will be staged and marked with player foursomes and starting holes/tee times before you arrive. This will be done based on the information given to the Event Marketing and Sales Department the day prior.
Starting your Event
At the designated time, for a shotgun start, a member of the Golf Shop staff will greet your group and ask them to gather at their carts. At this time, he will briefly describe the format, give instructions and start the event. Firestone Country Club staff members will lead the groups onto the golf course. Scorecards and pencils will be provided on the carts by our staff. Many golf outings provide a tournament rules sheet to the guests when they register. I t will describe the golf format, event holes and any other pertinent information to the guests. We can provide suggestions for preparing this if you desire.
On-Course Competition Markers
The Golf Shop staff will prepare the proximity markers for your on-course events (closest to the pin, long drive, etc.) based on the information contained in your event BEO. All proxy markers will be placed on the course ahead of the group's event.
Our PGA Professionals can provide scoring services for your event. If you choose to have PGA scoring assistance, prior to the start of the event, our Golf Shop staff will announce to the field that scorecards should be turned in to the Golf Shop staff member collecting cards at the conclusion of the event. Please note that in order to have a handicapped event, the Golf Shop will need ALL handicaps prior to the start of play.
Food Service Timing
Our staff will monitor the progress of your event during the day so that the beginning of food service coincides with the completion of play.
Golf Shop Hours for Gift Certificate Redemption
The scheduled closing time of our Golf Shop varies throughout the season. The hours normally accommodate redemption of gift certificates. If there is any concern, or many of your guests are from out of town, special hours can be arranged. Please make sure that such arrangements are made in advance.
Many large groups plan their event up to a year or more in advance. Most events reserve the equivalent date for the following year during their current event. Our policy is to offer current customers the comparable date for the next year. The Event Marketing and Sales Department will make a follow-up call and give current customers every chance to keep their date. Smaller groups can often be accommodated with less notice depending on the time of the year.
